Growth creates new challenges
When you have five clients, keeping everyone happy is straightforward. When you have fifty, it requires systems and discipline. The agencies that scale successfully are the ones that systematize client management early.
Segment your clients
Not all clients deserve the same level of attention. Categorize them by revenue, growth potential, and relationship strength. Focus your best recruiters on your most valuable accounts and make sure no client falls through the cracks.
Set expectations upfront
At the start of every engagement, agree on communication cadence, reporting format, and response times. When expectations are clear, there is less room for disappointment.
Regular reporting
Send clients a weekly or bi-weekly update on their open roles even if there is nothing new to report. "No update" is still an update, and silence makes clients nervous. Use your ATS reporting features to generate these automatically.
Track the relationship
Log every interaction with every client. When a different team member takes over an account, they should be able to pick up exactly where the last person left off. A good ATS makes this effortless.
Ask for feedback
Quarterly check-ins with key clients to ask "How are we doing?" can surface issues before they become problems. It also shows you care about the partnership beyond just filling roles.
