Share your availability with booking links

A booking page is your own public scheduling link. Instead of trading emails to find a time, you send one link and the candidate or client picks a slot that suits them. Crumblelead only offers times inside the hours you have set, shows them in the other person's own time zone, and puts the meeting straight into your calendar the moment they book.

It works well for screening calls, candidate interviews, client intake calls and anything else you book again and again.

How booking links work

  1. You create a booking page with your meeting length and the hours you are free each week.
  2. You share its link, by email, on LinkedIn, in a job advert or in your email signature.
  3. The person opens the link, picks a day and a time, and enters their name, email and an optional note.
  4. The booking is confirmed straight away. It appears in your Crumblelead calendar, they get a confirmation email, and you get a notification.

Create a booking page

  1. Open Calendar in the sidebar, then click Share Availability.
  2. Click New Booking Page.
  3. Fill in the details below, then save.
  • Title: the name people see at the top of your page, such as "30 minute screening call".
  • URL slug: the end of your link. Your link looks like /schedule/your-team/30-min-screening. Use lowercase letters, numbers and dashes.
  • Description: an optional note shown under the title. This is the place to say how you will meet, for example "I'll call you on the number in your CV" or your video meeting link, because Crumblelead does not create a video link for you.
  • Call length (minutes): how long each meeting lasts, from 5 minutes up to 8 hours.
  • Break between calls (minutes): breathing space added after each slot, so back-to-back bookings leave you time to write up notes. Up to 2 hours.
  • Minimum notice (hours): how far ahead someone has to book. Set it to 24 and nobody can grab a slot tomorrow morning at midnight. Up to 7 days.
  • Booking window (days): how far into the future people can book, up to 90 days.
  • Timezone: the time zone your weekly hours are in. People booking from other countries still see times in their own time zone.
  • Weekly availability: switch on the days you take calls and add one or more time ranges for each. Use several ranges to leave a gap, for example 9:00 to 12:00 and 13:30 to 17:00 to keep lunch free. Copy to all days repeats one day's hours across the week.

A new page is live as soon as you save it. Use the toggle next to it to pause it and switch it back on at any time.

Ideas for booking pages

You can have as many pages as you like, each with its own link, length and hours. Recruiters often keep a few:

  • 15 minute intro call for new candidates, with short notice and plenty of slots.
  • 45 minute interview for shortlisted candidates, only on the afternoons you keep for interviews.
  • Client intake call for new roles, with a longer call length and a bigger break afterwards.

Share your link

On the Share Availability page, each booking page shows its length, your hours and how many bookings it has had. Use Copy link to grab the public address, or Preview to open the page exactly as a candidate sees it. You can edit or delete a page at any time.

You can also ask Crumble AI for it. Try "what's my booking link?" or "draft an email to Sofia with my booking link", and it adds the link for your live booking page. If you have several live pages, check the draft uses the one you meant.

What candidates see

  • Your name, with the page title, description and meeting length.
  • A calendar of the days you take bookings, within your booking window.
  • The free times for the day they pick, shown in their own time zone, which their browser detects automatically.
  • A short form for their name, email and an optional note, such as the role they are interested in.
  • A confirmation screen as soon as they book. They do not need an account.

What happens when someone books

  • A "Meeting with [their name]" event is added to your Crumblelead calendar at that time, with their note attached.
  • They get a confirmation email with the date, the time in their time zone and the meeting length.
  • You get an in-app notification and an email telling you who booked and when.
  • If you have a calendar connected with Write here turned on, the meeting is also added to your Google or Outlook calendar. See Sync your Gmail or Outlook email and calendar.
  • That time disappears from your booking page, so nobody else can take it.

How your available times are worked out

For each day, Crumblelead starts from your weekly hours in the page's time zone and splits them into slots of your call length, with your break added after each one. It then removes any slot that:

  • falls inside your minimum notice, or beyond your booking window;
  • overlaps an event in your Crumblelead calendar, including meetings you have added there and ones created by earlier bookings;
  • overlaps another booking on the same page.

Two things to keep in mind:

  • Meetings that only exist in Google or Outlook are not checked yet. If you often have meetings booked outside Crumblelead, keep your weekly hours to the times you genuinely keep free, or add a block to your Crumblelead calendar for those meetings so the slot is taken.
  • All-day events do not block your slots. If you are on holiday, pause the page or remove those days from your hours.

Moving or cancelling a booking

Candidates cannot reschedule or cancel from their confirmation email. If plans change, open the meeting in your Crumblelead calendar to move or delete it, and let them know by email. If you want them to pick a new time, send your booking link again.

Good to know

  • Booking pages are personal. Every team member can create their own, and you only see and manage yours.
  • A booking is not attached to a candidate's profile automatically. The event shows their name and note, so you can find or add them in Crumblelead afterwards.
  • A paused or deleted page's link stops working, and anyone opening it sees a page not found message.
  • Booking pages cannot be used in demo workspaces.

FAQs

Do I need a connected calendar to use booking pages?
No. Without one, bookings go into your Crumblelead calendar only. Connect Google or Outlook with Write here turned on if you also want them there.

What time zone do candidates see?
Their own. Your hours are set in your page's time zone and shown to each person in the time zone their device is set to, and their confirmation email uses it too.

Can I have more than one booking page?
Yes. Create one per meeting type, each with its own link, length and hours.

Does Crumblelead add a video call link?
No. Put your video meeting link or call details in the page description so people know how you will meet.

How do I stop taking bookings for a while?
Switch the page's toggle to paused. Switch it back on when you are ready, and the same link works again.
