Handle a subject access request (SAR)
When a candidate asks for a copy of everything you hold about them, that is a subject access request (SAR). Crumblelead builds the whole package for you in one step, so you can answer within the legal deadline without hunting through records.
Generate a SAR export
- Open the candidate's profile and go to the Privacy tab.
- In the Data export (SAR) card, click Generate export.
- Enter a Reason for request (for example, "Candidate submitted a formal SAR by email"), then confirm.
- Crumblelead prepares the file. This runs in the background, and you will be notified when it is ready. When it is, click Download ZIP.
What the export contains
- A summary PDF of the candidate's record.
- A data file with everything held: profile, work experience, education, skills, applications, notes, placements, consent history, retention details and activity log.
- A files folder with the original CV and every document on record.
You then send this package to the candidate yourself. Crumblelead does not email it to them for you, so you stay in control of how you respond.
Roles and limits
- Generating a SAR export is available to managers and above.
- The download link expires after 7 days, so save the file somewhere safe once it is ready.
- The request tracks a 30-day deadline to help you respond in time.
- You cannot start a second export while one is still being prepared.
- SAR exports are not available in demo workspaces.
FAQs
Is this the same as exporting my whole workspace?
No. A SAR is one candidate's full record. To export the whole workspace, see Export all your data.
Does Crumblelead send it to the candidate?
No. You download the ZIP and share it with the candidate yourself.
What if the link expires?
Generate the export again from the candidate's Privacy tab. Recent requests are listed there with their status.
