Sync your Gmail or Outlook email and calendar

Connecting your accounts lets you send emails from inside Crumblelead using your own address, and keeps your calendar in step with the schedule in the app. Email and calendar are set up separately, and both are personal to you, not shared across the team.

Connect your email (Gmail or Outlook)

Connecting your email lets you send messages from a candidate or client record using your own address. Those emails are logged against the record so your team can see the history. It does not import your inbox, and incoming replies are not pulled in.

  1. Click your name or go to Account, then open the Email tab.
  2. In the Email Integration card, choose Connect Gmail or Connect Outlook.
  3. Sign in to Google or Microsoft and allow Crumblelead to send email on your behalf.
  4. You will return to the Email tab with your account connected. You can now pick your email address when sending from a candidate or application.

Prefer another provider? Choose Custom SMTP and enter your From address, SMTP host, port, username, password and encryption. You can also set up an email signature on the same tab, which is added to new emails automatically.

To disconnect, use Disconnect Account on the Email tab. You can only have one sending account at a time, so connecting a new one replaces the old.

Connect your calendar (Google or Microsoft)

Calendar sync works both ways. Events you create in Crumblelead appear on your real calendar, and events from your calendar show up in the app.

  1. Go to Account and open the Calendar tab.
  2. In the Calendar Integration card, choose Connect Google Calendar or Connect Microsoft Calendar.
  3. Sign in and allow Crumblelead to read and update your calendar.
  4. Back on the Calendar tab, choose which calendars to sync. Tick Show events for each calendar you want to see in the app, and set one calendar as Write here so new Crumblelead events are added to it.

Your existing calendar events are imported after you connect. This can take a few minutes the first time. To stop syncing, use Disconnect Calendar; your existing events stay on both calendars.

Roles, limits and things to know

  • Email and calendar connections are per person. Everyone who wants to send email or sync a calendar connects their own account.
  • Only emails you send from Crumblelead are logged. There is no inbox or two-way email sync.
  • If a connection expires, you will see a prompt to reconnect. Click Reconnect to resume syncing.
  • Demo workspaces cannot connect real accounts, and emails there are simulated rather than sent.

FAQs

Will connecting my email import all my old messages?
No. Only messages you send from Crumblelead are recorded, and only from the moment you connect.

Does the whole team see my calendar?
No. Calendar sync is personal to you.

Can I send from one address and sync a different calendar?
Yes, email and calendar are set up independently on their own tabs.

What happens to events if I disconnect?
Events already created stay on both your calendar and in Crumblelead. Only future syncing stops.
