Erase a candidate's data (right to erasure)

Erasing a candidate removes their personal data from your workspace, either because they have asked to be forgotten or because your retention policy requires it. It is permanent, so Crumblelead walks you through it carefully.

Erase a candidate

  1. Open the candidate's profile and go to the Privacy tab.
  2. In the Erase candidate data card, start the erasure.
  3. Choose the reason: No, retention policy, or Yes, Right to be Forgotten if the candidate asked directly.
  4. For a right-to-be-forgotten request, record when you received it, the candidate's email and how they asked. Crumblelead tracks the 30-day response deadline and can send the candidate an acknowledgement.
  5. Confirm that you understand the action is permanent, then schedule the erasure. Retention erasures are carried out within about a day; right-to-be-forgotten erasures are carried out straight away.

What is removed and what is kept

  • Removed: the candidate's name, contact details, CV and documents, photo, notes content, emails and other personal information are deleted or anonymised.
  • Kept, anonymised: application history, pipeline movements and placement records remain, with the person's identity removed, so your reporting stays accurate.

After erasure the profile shows an erased banner with the reason and date. This cannot be undone.

Roles and limits

  • Erasing a candidate is an admin-only action, because it is permanent.
  • Erasure is not available in demo workspaces.
  • For a right-to-be-forgotten request, Crumblelead can send the candidate an acknowledgement and a completion confirmation.

FAQs

Can I undo an erasure?
No. It is permanent, which is why you confirm before it runs.

Why are some records still there afterwards?
Application, pipeline and placement history is kept in anonymised form so your revenue and reporting figures remain correct. The person can no longer be identified from it.

What if I just want to keep the record longer, not erase it?
Use the review options on the Data Retention page instead. See Set data retention rules for candidates.
